About this policy

This policy explains how Mosaic Academy uses artificial intelligence in its own business, what safeguards are in place, and how concerns about our use of AI can be raised.

We follow the 10 Responsible AI Commitments published by the Responsible AI Use Campaign (RAIUC), to which we are a signatory.

How we use AI at Mosaic Academy

We use AI tools to support the delivery and operation of our training business, including:

  • Developing workshop materials, course content and practical exercises
  • Researching AI tools, techniques and industry developments to keep training current
  • Drafting, editing and reviewing written content for the website and communications
  • Generating ideas, examples and case studies to illustrate AI concepts in training
  • Supporting routine business tasks such as proposals, planning and correspondence
  • Staying informed on regulatory developments, best practice and emerging AI risks

We do not use AI to deliver training autonomously, replace human judgement in client work, or make decisions that affect clients without human review.

Our 10 Commitments

1. AI Transparency

We disclose when AI has played a significant role in producing content that could materially affect our clients. We do not present AI-generated work as independent human analysis where this could mislead.

2. Human Oversight

All training content, client advice and published material is reviewed by a human before use. We do not rely on AI alone to make recommendations about clients or their organisations.

3. Data Responsibility

We use AI tools that comply with UK GDPR and applicable data protection law. We minimise the personal or confidential information entered into AI tools and only do so where there is a lawful purpose.

4. Bias Awareness

We actively review AI outputs for potentially biased, discriminatory or misleading content, which is particularly important given that we use AI to produce training materials used by others.

5. Security and Privacy

We take reasonable care when selecting AI tools, considering their security arrangements and privacy terms. Confidential client information is not entered into AI tools without appropriate assessment.

6. Safe Automation

We do not allow AI to make unsupervised decisions that could cause serious harm. The level of human review reflects the importance and risk of each task.

7. Responsible Content Use

We review AI-assisted content before publication and verify important factual claims against reliable sources. We do not knowingly use AI to create deceptive content or spread misinformation.

8. Workforce Impact

Helping people work confidently and responsibly alongside AI is our core purpose. We extend this same ethos to our own operations, ensuring anyone working with or for Mosaic Academy understands how we use AI.

9. Environmental Awareness

We use AI proportionately and aim to avoid unnecessary repeated processing. We consider publicly available environmental information when choosing AI services.

10. Accountability

We remain accountable for how we use AI, including outputs produced with third-party AI tools. Anyone with a concern about our use of AI can contact us via the website contact form.

Third-party AI services

Mosaic Academy uses AI products and services supplied by third parties. Those providers operate under their own terms, privacy policies and security arrangements. We seek to use reputable services responsibly, but we do not control how third-party AI systems are developed or operated.

Accuracy and limitations

AI systems can produce inaccurate, outdated, incomplete or misleading information. For this reason:

  • AI output is not automatically treated as fact
  • Important information is checked where reasonably possible
  • AI does not replace professional legal, regulatory, financial or other specialist advice
  • Responsibility for all published content and client-facing decisions remains with Mosaic Academy
